1. Taxman

Taxman is a tax return software from Lexware (an accounting software company in Germany since 1989). It is a very comprehensive software and suitable also for people with complicated tax situations. For example, self-employed income, real estate income, capital gain from investment, etc.

My personal experience

I have been using Taxman personally for 2 years now. I filed a joint tax return together with my husband. We have quite complicated tax returns in the last 2 years including a newborn baby, parental leave, both employed and self-employed income, self-living and investment properties, capital gain in Germany and abroad, maintenance expenses to my parents abroad, etc.

The Taxman software provides a very comprehensive explanation of the tax terms. It also offers tax tips on how to maximize the refund. There is a library in the software that explains pretty much all the tax aspects.

We were able to file our tax return by ourselves with Taxman. And we have deducted all the qualified expenses in our tax return. In the end, we managed to get back a big tax refund as expected. 

The drawback

To use Taxman, you need to install the program on your computer. The biggest drawback is that Taxman is only available in German. Since I work in the finance/ accounting field, I am familiar with those tax terms and thus it is not a big problem for me. But if that is not your case, it may be a bit too complicated for you to use Taxman.

The interface of Taxman is not super intuitive and not very modern. It was a little confusing for me at the beginning and it took me some time to get used to it. 

The good thing is that I could call the free customer service hotline when I had questions using Taxman. I did call quite many times in the first year and was able to solve my issue. The customer service only speaks German though.

In the second year, I already knew how it worked and I was familiar with all the forms in Taxman already. So, I was able to complete my tax return via Taxman much faster.

The best tax return software is different for everyone. In the end, it depends on your needs and circumstances. The best tax return software in Germany for me may not be the same one for you.

When choosing your best tax return software in Germany, you should consider the below factors:

The language

If your German level is not sufficient, it will be a pain to prepare your tax return in Germany by yourself. In that case, it would make sense for you to use English tax return software in Germany.

It will make your life much easier. Besides, you may get help from English customer services in case you have questions when filing your tax return.

If this is your first time filing a tax return in Germany, you may want to find tax return software that can guide you step-by-step in simple language. The tax return software should be simple to use and has an intuitive interface. It is always more difficult to do it the first time. But once you know how to do it, the following year will be much easier.

Many tax return software in Germany can transfer your data from the previous year to the current year. This makes it much easier for you if your tax situation does not change much. Just update the old number to the new one and then you are good to go.

What devices are supported by the tax return software?

Is it a mobile app? Does it have a web version? Which operating systems are supported?

Do you need to download the software?

Some tax return software in Germany requires you to download them. Some others are online tools where you can just fill in everything online.

Many software only requires you to pay if you want to submit the tax return. So, you can fill in all your info and have a look first at the estimated tax refund. You should only pay if your estimated tax refund is more than the cost of the tax return software (assuming it is not compulsory for you to file your tax).

The thought of filing your tax return in Germany may be overwhelming (especially if it is your first time). That is why I write up this article to recommend you some good tax return software (also in English). It is really not as painful as you may think.

The only way to get a refund is to submit a tax return. So, if you have a lot of deductible expenses in the year, you should file a tax return to get your money back.

Who must file a tax return in Germany?

If one of the below situations applies to you, you are required by law to submit your tax return in Germany.

1. Self-employed people: It is because your income has not been taxed when you earn it.

2. Work for more than 1 employer in the year.

3. More than one source of income: e.g. side jobs or foreign income.

4. Receive social benefits of more than 410 EUR: e.g. child benefit.

5. Family status: e.g. if you are divorced and remarried in the same year.

6. Certain tax classes: e.g. if you are married and are in tax class 3 or 5.

Besides, the tax office may sometimes ask you to submit a tax return per request. If that is the case, you will receive a letter from the tax office. And yes, you will have to submit your tax return as requested.

The 4 different ways to submit your tax return in Germany

1. Use ELSTER

As mentioned before, this is a free tool from the tax office in Germany. You can submit your tax return electronically via this tool. The drawback is that the tool is only in German and is not very intuitive. The German tax terms can also be hard to understand.

2. Use a tax return software

With the software, you can file your tax return online easily. Besides, you can get all the tax tips and guidance (also in English) at a low price.

In this article, I have summarized all the best tax return software in Germany. You will find one that fits best to your needs.

3. Use the Lohnsteuerhilfeverein

Lohnsteuerhilfeverein is an Income Tax Assistance Union that often consists of retired accountants or tax specialists. To get tax advice, you will have to pay a flat membership fee. It is usually between 50 to 400 EUR per year, depending on your income. This is much cheaper compared to hiring a tax advisor.

The drawback is that you can only get help if you are an employee. So, this will not be an option for you if you are self-employed. Besides, the service is usually only in German.

4. Use a tax advisor

For many years, I have been using a tax advisor because of our complex tax situation. The great thing about having a tax advisor is that I can ask questions and get tax advice. The drawback? I paid almost 1,000 EUR per year.

So, 2 years ago, I decided to do it myself with tax return software. I have managed it and got all the tax refunds as expected. And I paid 33 EUR per year.

If you are too insecure, you can also use a tax advisor for the first years. Once you know how it works, you can try to do it yourself. You can refer to the tax forms from the previous years prepared by your tax advisor. This works well especially if you don’t have many big changes year to year.

How to find a tax advisor online?

What is the tax return process in Germany?

Here is an overview of the tax return process in Germany:

1. Submit your tax return online

You can use ELSTER, tax return software, or you can hire a tax advisor to file your tax return for you in Germany. Note that if you use a tax advisor, you can have an extended tax filing deadline. It means that you gain more time to prepare all your tax documents.

A good thing to know is that you only need to submit all the requested tax forms to the tax office without any supporting documents. However, make sure you have your supporting document on hand in case the tax office asks for it. 

2. Additional documents requested by the tax office (optional)

You may receive a letter from the tax office, asking additional questions regarding your tax return or requesting supporting documents. In the letter, it will state a deadline by when you need to reply (2 weeks). 

That’s why it is important to have all your supporting documents on hand when you submit your tax return in Germany. This can ensure that you can respond to the tax office quickly in case your tax officer requests additional documents. You can reply to the tax office and attach your supporting document via ELSTER

Please note that this step may or may not happen, depending on your tax officer. If you are lucky, no additional document may be requested by your tax officer. And you can jump directly to the next step.

3. Receiving your tax assessment notice 

On average, it can take 8 to 10 weeks for the tax office to process your income tax return in Germany. The tax assessment notice will be mailed to you once it is done.

On the tax assessment notice, you can see how much tax refund you can receive. Or how much you need to pay back in case you owe tax.

4. Receiving your tax refund

You will usually receive the tax refund in your bank account within a few days after you get the tax assessment notice. 

5. Filing a protest (optional)

It is important to know that the tax officer is not always correct! There have been many occasions for us that the tax officer has calculated our tax return incorrectly. 

For example, my husband spent more than 6,000 EUR on eye surgery. So, we put this expense in our tax return. However, our tax officer rejected this cost, saying that this is not tax-deductible. This was not true. So, we filed a protest (“Einspruch” in German) and quote the associated tax rule regarding this type of expense. 

In the end, our tax officer agreed with us and we got back a (big) tax refund. So, don’t always agree with your tax officer. Read the tax assessment notice carefully and know your rights!

How to file a protest?

In case you need to file a protest, you can do so via ELSTER. A lot of tax return software provides protest templates that you can edit and submit to the tax office. You will need to file your protest within 1 month after receiving your tax assessment notice.

If you cannot resolve the conflict and you are confident about your argument, you can even sue the tax office! That’s why it is important to have a legal insurance policy in Germany as it may pay for the cost.

When is the deadline to file your tax return in Germany?

Not everyone in Germany needs to file a tax return. But if you do, you have to do so by 31st July in the following year. Note that if you use a tax advisor, you can have an extended deadline.

For example, for the 2019 tax return, the deadline will be 28th Feb 2021 if you file it via your tax advisor. If you are late, you may have to pay a penalty and interest on any amount owed.

Important: The tax return deadline has been extended. For example, for the 2023 tax return, you can do so until 31th Aug 2024, or until 31st May 2025 (with a tax advisor). 

If you are not required to file your tax return in Germany, you can still do so in the following 4 years. For example, in 2024, you can file your tax return for 2020, 2021, 2022, and 2023. So, it may not be too late now to get back your money if you didn’t file your tax return before.
